Our Choose a Fertility Clinic (CaFC) focused consultation is live

As mentioned in our June and July editions of Clinic Focus, we are seeking views on the main profile page statistics shown on each licensed clinic’s Choose a Fertility Clinic profile page.

 

We are running this consultation to get views on which statistics are most helpful for the public and best represent fertility treatment today, to support us in deciding what statistics should be shown on a clinic’s main profile page to give a broad overview of that clinic’s success rates.

 

This focused consultation is open to both patients and professionals until 5pm on Tuesday 30 September 2025. It should take around 30 minutes to complete. We’re inviting you to complete this and also pass it on to colleagues in the sector.

Reminder: Importance of clearly displaying your HFEA licence

Clinics should display their HFEA licence within their facility in a place where it can be easily seen.

 

Fertility care and associated treatments are increasingly offered online or outside of HFEA regulation. This is confusing for patients who may not know whether a clinic is licensed or not. It is therefore important that when patients visit your clinic, they can clearly see that you are a licensed fertility clinic regulated by the HFEA.

 

 The HFEA Code of Practice states that:

 

“25.11 The centre should display a copy of its Certificate of Licence where it can easily be read by current and potential patients and donors.”

Changing the Person Responsible (PR) of a clinic

The law requires licensable activity to take place only under the supervision of the Person Responsible (PR), as named on the clinic’s licence.

 

An individual can only be appointed as the PR of a licensed clinic with the approval of the HFEA.

 

Where the PR is unable to carry out their duties for any reason, the holder of the licence must inform the Authority immediately and apply for a licence variation to nominate a substitute PR. This nominated substitute PR cannot take up their post until the Authority decides that they are suitable.

 

The administrative process to replace a PR can take a few months; therefore, it is important that you start the process as soon as you are aware that the current PR plans to relinquish the role.

 

The process involves:

  • The proposed PR must complete and pass the PR Entry Programme (PREP) test prior to an application being made to vary the PR.
  • An application to vary the PR must be submitted from the PR’s clinic portal account.
  • HFEA staff must review the application and prepare an executive summary for committee decision.
  • The application must be booked into the next available committee agenda.
  • Once the committee has considered the application, the minutes must be checked and verified prior to release (this takes two - three weeks).

Until the new PR is appointed (i.e. following the release of the minutes from the committee), the current PR remains legally responsible for the clinic’s activities. 

 

The proposed PR should email HFEACompliance@hfea.gov.uk for login details to access the PREP test. If you are planning on appointing an established PR of a different clinic as PR of your clinic, they will already have a PREP test certificate number.

 

If a PR of a different clinic is planning on also becoming the PR of your clinic, they must be satisfied that they will be able to effectively manage the workload.

 

It is possible to take the PREP test at any time and therefore it may be worth considering within your business continuity and succession planning to support further members of staff to undertake the test, as this can speed up the application process in an emergency.

 

An application to vary the PR must be accompanied by the following information:

  1. a current CV of the proposed PR listing academic and professional qualifications; work experience and registration details with the relevant professional body;
  2. the PR Entry Programme (PREP) certificate number confirming satisfactory completion of the PREP.

Fertility 2026

This year’s conference will be focused on supporting those working across the sector, with sessions designed to promote wellbeing, resilience, and career development alongside scientific and clinical excellence.

 

With a strong focus on emerging research abstract submissions are now open, with a submission deadline of 1 September 2025. The conference will offer a wide range of opportunities for presenters, including featured presentation opportunities, rapid-fire theatre sessions, and interactive digital poster walks.

If there are members of clinic staff, other than your PR, who would also like to receive alerts, then please provide Business Support with their details, using the email address above.  

 

The Medicines and Healthcare products Regulatory Agency (MHRA) publish all Field Safety Notices (FSNs) on their website.

PrEP for HIV prevention

 

Further to the January 2024 Clinic Focus article, another update has been received from JPAC on Injectable Pre-Exposure Prophylaxis (PrEP) for HIV prevention.

 

PrEP is normally given in tablet form but longer-acting injectable PrEP e.g. cabotegravir (Apretude®) may also be used in individuals who are not suitable for oral medication. Cabotegravir injections are given on an eight-weekly basis to ensure adequate HIV protection. Low levels of cabotegravir can be detected for many months in treated individuals, even after injections have been stopped.

 

The drugs used in both Pre- and Post-Exposure Prophylaxis for HIV (PrEP and PEP) may interfere with the routine HIV screening tests. If you have any concerns relating to the HIV screening of any individuals who may have taken or injected any of these prophylactic drugs (e.g cabotegravir (Apretude®)), please contact a Consultant Virologist to discuss this in more detail.
